Here is the exact setup process — step by step, no tech experience needed.
Step 1 — Create Your Free Claude Account (3 minutes)
- Open your web browser and go to claude.ai
- Click Get Started or Sign Up
- Enter your email address and create a password
- Check your email for a verification link and click it
- You are in — no credit card required
We recommend creating a separate Gmail for AI tools — something like yourbizname.aitools@gmail.com. This keeps your AI accounts organized and separate from your main business email.
Step 2 — Set Up Claude to Know Your Business (5 minutes)
This is the most important setup step. Once you do this, Claude knows your business in every conversation without you repeating yourself.
- Inside Claude.ai, click your name or profile icon in the bottom left corner
- Click Settings
- Look for Personal Preferences or a system prompt area
- Copy and paste the template below, filling in your real business details
- Save it
You are my business assistant for [your business name]. My business does [describe what you do in 1-2 sentences]. My typical customer is [describe who hires you]. My communication style is [professional / friendly / direct]. Always write like a real human talking to another real human. Never use corporate jargon. When I ask you to write something, aim for clear, short, and easy to understand.
Step 3 — Turn Off Chat History (Optional but Recommended)
If you discuss sensitive business information with Claude, you may want to turn off chat history. This means your conversations are not saved or used to train the AI.
- Go to Settings in Claude.ai
- Click Privacy
- Turn off Save Chat History
Step 4 — Create a Claude Project for Your Business (5 minutes)
Claude Projects let you set up a dedicated workspace for your business with specific instructions and files. This is more powerful than the system prompt.
- On the left sidebar in Claude.ai, look for Projects
- Click New Project
- Name it after your business
- In the Project Instructions box, paste your business description (same as Step 2)
- You can also upload files to the project — like your price list or service menu
Step 5 — Test It With Your First Real Task
Once your setup is complete, test it with something real. Try this:
Write a professional email to a new customer who just booked our service for the first time. Thank them, confirm the appointment, tell them what to expect, and let them know how to reach us with any questions. Keep it under 100 words and sign it from [your name].
If the output sounds like it knows your business — great, your setup worked. If it sounds too generic, go back to Step 2 and add more detail about your business and customers.
Common Setup Mistakes to Avoid
- Being too vague — "I own a business" tells Claude nothing. "I own a residential cleaning company serving the Nashville area with 4 employees" gives Claude something to work with.
- Skipping the project setup — The system prompt helps, but a full Claude Project is more powerful for regular business use.
- Forgetting to test it — Always test with a real task before assuming the setup is working correctly.
